A step-by-step guide.

Qondor's sustainability reporting tool: a step-by-step guide

With regulations like the CSRD in place and clients beginning to demand emissions data, knowing how to track and report the environmental impact of meetings & events is becoming a critical capability.

That’s where Qondor’s Standalone Sustainability Reporting Tool comes in. Designed specifically for event and travel professionals, this easy-to-use solution lets you generate clear, data-driven sustainability reports—without needing a full Qondor licence or additional systems.

In this guide, we’ll walk you through how to use the tool to create, customise, and send reports that make a real impact.

What Is Qondor’s Sustainability Reporting Tool?

Qondor’s tool is built to make sustainability reporting simple for meetings and events. It enables you to:

  • Track emissions across travel, accommodation, and food & beverage.
  • Generate client-facing reports based on your project details.
  • Use industry-standard methodology provided through our integration with Squake.
  • Share reports directly with your clients—or export them in a professional PDF format.

You can use the tool independently of the full Qondor platform, meaning it’s perfect for TMCs, event agencies, and venues looking for a focused, lightweight solution.

How to create and send sustainability reports – step-by-step.

Here’s how to get started:

1. Create a new project.

Once logged in, go to your Sustainability module and click “New report”.

  • Give your project a name (e.g., Annual Sales Kickoff 2025).
  • Select the number of participants.
  • Choose the country where the event is held, and its start and end dates
This basic information forms the foundation of your report.

2. Add emissions data for travel, accommodation & F&B.

You can now begin adding event-related items that contribute to the carbon footprint.

Travel:

Choose the type of transport:

  • Flights (domestic, international, short-haul, long-haul).
  • Rail.
  • Road (bus, car, taxi).

Add:

  • Route details (origin and destination).
  • Number of travellers.
  • Class of travel.

The system will automatically calculate emissions based on these inputs.

Accommodation:

Add hotel stays by entering:

  • Number of nights.
  • Hotel category.
  • Number of guests.

Food & Beverage:

Choose the type of catering provided:

  • Meat-heavy.
  • Vegetarian.
  • Vegan.
  • Mixed.

Qondor uses Squake’s verified methodology to calculate CO₂ emissions for each item.

3. Add custom data (optional).

Need to include external services or supplier-specific data?

You can manually add items like:

  • Freight and logistics.
  • Onsite equipment and AV.
  • Additional transport not already captured.

This gives you the flexibility to build a comprehensive, end-to-end view of event emissions.

4. Review and finalise your report.

Once your data is in, Qondor automatically calculates:

  • Total emissions.
  • Emissions per attendee.
  • Visual breakdowns by category (transport, accommodation, F&B).
  • A clear summary on the event’s carbon footprint.

The final report also includes a methodology section, showing exactly how the calculations were made—ensuring credibility and transparency with your clients.

5. Share the report with your client.

You can share the report in two ways:

  • Send a digital version via email—clients get a clean, branded landing page where they can view the full report.
  • Export it as a PDF—ideal for attaching to proposals, offers, or internal reporting.
