Meetings and events agencies have spent the last decade digitising. Proposals moved online, budgets moved out of spreadsheets, and more of the project lifecycle now lives in one system. Qondor, the operating platform for meetings and events agencies and travel management companies, believes the next change goes further: software that does parts of the work itself.


Today the company announced its first AI agent, which reconciles supplier invoices against the approved offer. It launches to the public in November 2026, and Qondor sees it as the first of several agents that will change how agencies run their operations.

Qondor believes AI will change the shape of an agency's working week. The hours that go on checking, matching, re-keying and chasing will shrink. The time spent on clients, creative work and commercial decisions will grow. The people doing the operational work will spend less time on every individual check and more time reviewing and approving what an agent has prepared.


"The agency of tomorrow won't run like the agency of today," said Nils Olav Rislå, CEO at Qondor. "For years, growth in this industry has meant more projects, more suppliers and more admin. Agents change that equation. An agency will be able to take on bigger, more complex work without its back office growing at the same rate, and its best people will spend their time where they add the most value."


Why does the Meetings & Events industry need its own agents?


Qondor's view is that the biggest gains will come from AI built for the industry and working with the industry's own data. General AI tools are powerful, but they only see what they are given. An agent working inside an agency's operating platform can see the approved offer, the budget and the full project history, and act on what was actually agreed.


That context matters most where the stakes are financial. Meetings and events projects involve many suppliers, complex pricing and tight margins. A single supplier invoice can run past 100 lines, and every line needs checking against the offer, usually just as the project is trying to close. Errors that slip through come straight off the margin.


Qondor’s first agent could give agencies nearly seven weeks back a year.


The supplier reconciliation agent matches every line of a supplier invoice against the approved offer, flags each discrepancy with the exact amount and tracks it until the team approves it, disputes it or updates the offer. It learns from reconciliations across the Qondor customer base, so it gets sharper over time.


For a mid-sized agency running around 100 projects a year, Qondor estimates the agent could save more than 250 hours of manual checking annually. Based on catching just 1% of supplier spend, it could also catch more than €15,000 in discrepancies before projects close.
Qondor plans to follow the reconciliation agent with further agents across the agency workflow, starting with the tasks customers say cost them the most time and margin.
